Plain-language version — not yet reviewed by a lawyer

We wrote this text ourselves to describe how Quadrarium handles data and money today. A lawyer’s review is pending; if it changes anything material, we will email account owners before the change takes effect.

These terms govern the use of Quadrarium, software that computes tourist tax for short-term rentals, reconciles it with what the platforms collected, and prepares declaration files. Please read them before you sign up.

Who provides Quadrarium

Quadrarium is provided by Gaperi Consult SRL, Strada Nicovalei nr. 64, Municipiul Brașov, Județul Brașov, Romania (CUI 46640245, trade register J8/2526/11.08.2022), referred to here as “we” or “us”. You can reach us at [email protected].

For businesses and professionals only

Quadrarium is offered only to businesses and professionals: property managers, hosts acting in the course of a business, and the accountants and advisers who work for them. It is not offered to consumers.

When you sign up, you confirm that you are doing so for a business or as a professional. If you act for a company or for another person, you confirm that you are authorised to accept these terms on their behalf.

Quadrarium is software: you or your intermediary submit

Quadrarium computes tourist tax per stay from the rules we publish, compares it with what each platform collected according to your reports and our verified platform rules, and prepares declaration files and audit packs for you to check.

Quadrarium never submits or transmits a declaration, a payment or any other document to a municipality, a tax authority or anyone else on your behalf. The declarant submits the declaration, or an intermediary the declarant authorises: in Italy, an intermediary authorised under art. 3, paragraph 3, of Presidential Decree (DPR) 322/1998, for example a commercialista using Entratel.

Your legal status and your role are yours to state: for example, whether you act as the gestore of a structure or as an intermediary who collects the rent. You enter them yourself, and Quadrarium never infers them. Based on the status you declare, Quadrarium shows which stays the cited, human-verified rule assigns to a platform.

Informational, not tax advice

Quadrarium provides general information based on official municipal sources, which it cites. It is not tax, legal or accounting advice, and it does not know your full situation. Gaperi Consult SRL is not a tax adviser.

You remain responsible for what you declare and pay. Check every figure and every file, with the municipality, your commercialista or another qualified adviser where needed, before you or your intermediary submit anything.

Test output until a format passes the official checks

Before a declaration file can be downloaded, Quadrarium checks it against the format rules we have implemented. That check is ours, not the authorities’.

Until a declaration format has passed the official control module (for Italian declarations, the Agenzia delle Entrate control software), every file in that format is marked as test output. Do not submit test output to a tax authority or a municipality.

How rules are sourced, and what happens when one is wrong

Every rule the engine uses (a rate, an exemption, a cap or a deadline) is stored with its official source, the dates it applies to and the date a person checked it against that source. A rule nobody has checked is never used: the stay is shown as needing review instead of getting a figure.

Rules change, and a checked rule can still turn out to be wrong or out of date. Each computation records the rule it used. If we find an error in a rule we published, we will correct it with a new, sourced version, identify the computations and files that relied on the old one, tell the customers affected, and let them compute and generate their files again.

If you think a rule is wrong, tell us at [email protected] or with the Feedback button.

Your account and your data

Keep your sign-in details confidential. You are responsible for what happens under your account and for the people you give access to an entity, such as your accountant.

You keep all rights in the data you upload. You allow us to use it only to provide Quadrarium to you, as described in the Privacy Policy and in the data processing terms below. You confirm that you are allowed to upload it, including any guest data in your reservation reports.

Data processing terms

For the personal data you upload about stays and guests, and the declarant details you enter, you (or your client) are the controller and we are your processor. Our data processing terms, based on the European Commission’s standard contractual clauses under Article 28(7) GDPR (Commission Implementing Decision (EU) 2021/915), form part of these terms and are available on request at [email protected].

The sub-processors we use, what each one does and where, are listed on the Sub-processors page.

Free use, fees and payment

Creating an account is free. Without a paid plan, you can use the tourist-tax calculator, upload your reservation reports, reconcile your stays with what the platforms collected, run the readiness check before your declaration, preview the declaration file and the audit pack as test files (SAMPLE), and give your accountant a seat.

A declaration file and its audit pack that are not test files require paid access for their tax year: an annual plan, while it is active, or a seasonal purchase for that tax year. Test files (SAMPLE) stay free to download. Until a declaration format has passed the official control module, every file in that format is a test file.

The plans, their prices, what each plan covers and the conditions of each offer (for example a price lock or a refund) are shown on the pricing page and at checkout, before you pay. All prices are in euros, VAT excluded.

Payments are processed by Stripe. An annual plan is a subscription: it renews for each billing period until it is cancelled. You can cancel it through the subscription management page (Stripe’s customer portal) or by writing to us; the cancellation takes effect at the end of the current period. A seasonal purchase is a single payment for one closed tax year and does not renew.

We add VAT to our prices where the law requires it, and we issue an invoice for every payment.

Availability and changes to the service

We work to keep Quadrarium available and correct, but we provide it on a best-effort basis, without a guaranteed uptime. There may be interruptions for maintenance, for incidents or because of our providers.

We take extra care with changes to the service in the weeks before 30 June. Even so, prepare and check your declaration early; do not leave it to the last day.

We may change or remove features. If we discontinue Quadrarium as a whole, we will tell you by email at least 90 days in advance, and you can export your data throughout that period.

Liability

Our liability to you is as the applicable law provides; these terms do not limit it.

Nothing in these terms limits any liability that cannot be limited by law.

Ending the service, and your data

You can stop using Quadrarium at any time. We may suspend or end your access if you breach these terms, do not pay, or use the service in a way that puts it or others at risk. Before we do, we tell you what is wrong and give you at least 14 days to put it right, unless the risk is urgent or the law requires us to act at once.

While your account is active, you can download your declaration files and audit packs and export reconciliations as CSV. Before an account is closed, you get at least 30 days to export your data, and on request we send you an export. What we keep afterwards, and for how long, is described in the Privacy Policy.

Governing law and disputes

These terms do not choose the governing law or the courts that hear disputes: both are determined by the rules that apply when a contract makes no such choice.

Changes to these terms

Each version of these terms has a version identifier, shown at the top of this page. Your account records the version you accepted, when, and in which language.

If we change these terms in a way that matters, we will tell account owners by email at least 30 days before the change takes effect. If you do not agree, you can stop using Quadrarium and cancel before then; continuing after the change takes effect means you accept the new version.
